Client meeting notes that hold up at renewal.

The client remembers what you promised. This structure makes sure you do too, along with what they asked for, in their words.

Use this for any client-facing meeting: a status call, a QBR, a scoping session, a lunch. It differs from internal meeting notes in one way: it keeps the client's words and both sides' commitments apart, because those are what get quoted back to you later.

Client Meeting Notes — Template

Meeting record

  • Client, account or engagement, date, meeting type
  • Attendees on both sides, with roles; note who decides and who influences
  • Purpose in one line, as agreed at the start

What the client said

  • Goals and priorities, in their words; quote the phrasing they used
  • Concerns, objections, or frustration, including the ones raised in passing
  • Changes on their side: people, budget, timeline, strategy

Decisions

  • What was agreed, and who agreed to it
  • What was explicitly deferred, and until when

Commitments

  • What we owe them: item, owner, due date
  • What they owe us: access, data, approvals, introductions, with dates
  • Anything outside the current scope or contract: flag it, don't absorb it

Follow-up

  • Recap email: who sends it, by when
  • Next meeting: date, purpose, who should attend
  • Account signals to share internally: expansion, risk, a new stakeholder

Client notes from the conversation itself

Fluent records the meeting with a paired pendant or, as phone capture rolls out, straight from your iPhone, with no bot in the participant list. That makes it work at a client's office or over lunch. The notes come from the transcript: action items by who said them, and the client's words as they said them. People profiles keep each stakeholder's history across every meeting on the account.

Questions

What should client meeting notes include?

Who attended on both sides, the client's goals and concerns in their own words, decisions, commitments from each side with owners and dates, and the follow-up. Keeping their words separate from your summary is what makes the notes useful at renewal.

Should I share my notes with the client?

Share a recap, not the raw notes. A short email with decisions, commitments on both sides and next steps confirms the shared record; keep internal signals (risk, expansion, stakeholder dynamics) in your own notes.

How is this different from a general meeting notes template?

A general template records what happened. Client notes add who decides on their side, their exact phrasing, and a two-sided commitment list, because client relationships turn on what each side said it would do.

Do I need to tell the client I'm recording?

It depends on where the meeting happens. Some US states require everyone's consent, and many companies have their own policy. The Recording consent link at the bottom of this page covers how professionals handle disclosure.
