How much does a meeting cost?

A meeting costs the pay of everyone in it for as long as it runs. Six people at $37 an hour in a one-hour meeting is $222 in wages. Add benefits and payroll taxes, which make up about 30% of what US private employers spend on staff (BLS, June 2026), and it's about $317. If that meeting is weekly, that's around $16,500 a year.

How the calculator works

For each group, it turns pay into an hourly rate (yearly pay ÷ 2,080 working hours), multiplies by the number of people and the hours in the room, and adds the groups together. With benefits on, it divides by 0.70, because wages are 70% of employer costs in US private industry. Travel time is added to each person’s hours, because an in-person meeting starts when people leave their desks.

Make an expensive meeting worth it

The cost of a meeting is only wasted when nothing comes out of it. Before it ends, check three things: each decision is said out loud, each action item has one owner, and each owner has a date. An item nobody owns is the one that won’t happen.

Fluent keeps track of this for the meetings it records: see how follow-ups work.

Questions

How do you calculate the cost of a meeting?
Add up each attendee’s hourly cost and multiply by the meeting’s length. For a salary, the hourly rate is the yearly pay divided by 2,080. For the full cost to the employer, divide by 0.70 to include benefits and payroll taxes (BLS, June 2026).
How much does a one-hour meeting cost?
With 6 people at the US average full-time wage ($37 an hour), about $222 in wages, or about $317 including benefits.
Why include travel time?
For an in-person meeting, the time getting there and back is time spent on the meeting too. For a client visit across town it can cost more than the meeting itself.
Is my data stored?
No. The calculator runs in your browser and sends nothing to Fluent. The link it makes holds only numbers, never names or labels.
Where does the 30% for benefits come from?
From the US Bureau of Labor Statistics’ Employer Costs for Employee Compensation, June 2026: benefits were 30.0% of private-industry employer costs. Turn the box off to count wages only.
Does it work for other currencies?
It shows your currency’s symbol but doesn’t convert anything. The benefits share is a US figure, so outside the US, turn it off or treat the result as an estimate.
