The kickoff sets scope, owners and the definition of done. This structure covers the agenda and the record of what was agreed.

Run this when a project starts, or when a stalled one restarts with new people. The agenda gets everyone to the same answers; the notes are what you point to later when scope, ownership or the deadline gets questioned.

Roles

  • Who owns the outcome, who decides, who must be consulted, who is kept informed
  • The point of contact for each team or client

Plan

  • Milestones and dates; mark which are fixed and which are estimates
  • Dependencies on other teams or vendors
  • Top risks, and what would make each one real

Working agreements

  • Where updates live and how often they go out
  • Meeting cadence, and what gets decided where
  • How a scope change is raised and approved
